VOLUNTEER POSITIONS
All PTO events that happen each year at D23 are 100% volunteer-led. It takes a community to make our events and fundraisers a success. Here's a list of our most common volunteer positions with their description and average commitment.

COMMUNICATIONS |

Directory CHAIRAverage Commitment: Intensive, but mainly in September. Minimal time for the rest of the year, monthly updates depending on the number of newly registered students. Good for people with good computer, editing, and organizing skills Description: The Directory Coordinator works with the D23 Administration and the Membership Toolkit vendor to put the D23 PTO Directory together. This includes acquiring the files from the Admin Team and reviewing the listing of each student/family before submitting the file to Membership Toolkit. The Admin Team will provide a monthly list of new students who require updating the directory and PTO email list. |

PTO Newsletter CHAIRAverage Commitment: Consistent, bi-weekly work. Good for someone who is computer savvy and has good organizational and editing skills. Description: E-blast is a bi-weekly electronic newsletter that includes PTO news. Receive email announcements and collect information from Committee Chairs and Coordinators to put together the weekly newsletter. The e-blast is currently sent on Tuesdays, the compilation is completed the weekend before. |

Social Media Chair(s)Average Commitment: 1-2 hours per week. The busiest times of the year are in August/September, and around any fundraisers, specifically Family Fun Night. Description: The Social Media Chair rolls up under the Communications Team and is responsible for the distribution of PTO-related content on the PTO Instagram and Facebook pages. The Social Media Chair communicates with each Committee Chair via a request form throughout the year to publicize PTO programs, events, and news. Committee Chairs design their content, occasionally with the assistance of the Social Media Chair. There are times when the coordinator also posts school-related content, at the request of staff or administration. |

Website Maintenance CHAIRAverage Commitment: 1-2 hours per month. The busiest time during the summer when making updates for the new school year. Description: The Website Chair creates and edits all content on the PTO’s website. The Website Chair will liaise with the Communications Team to ensure all content is shared consistently across all communications avenues. The Website Chair will also work with the website host when large updates are needed to the PTO’s website. |
SCHOOL AND STAFF SUPPORT |

AVIC (Art Volunteer in the classroom) Chair & COMMITTEEAverage Commitment: Chair: a few hours during the summer for inventory and preparation for the introductory class, then small amounts of time as needed to order and restock supplies. Classroom volunteers: 1-1.5 hours per month from October to May, or every other month if sharing a classroom with another volunteer. Excellent classroom opportunity for volunteers who need flexibility. Description: The AVIC program introduces children to a wide range of recognizable artwork through a monthly art appreciation program staffed by PTO volunteers. The AVIC Chair provides an introductory class for new volunteers in late September, manages supply inventory, and restocks the AVIC supplies at each school as needed throughout the school year. Two AVIC classroom volunteers are allowed per classroom. No art experience or talent is required! The classroom volunteer coordinates which month is their responsibility to schedule, then coordinates the date and time with their teacher via email. Programs and project ideas are provided in the AVIC Google Drive.

Room Parent COORDINATORAverage Commitment: A few hours in 3 different months in advance of school holiday parties. 100% asynchronous Description: The Room Parent Coordinator serves as the essential bridge between the PTO Executive Board, the school administration, and the individual classroom Room Parents. This role ensures that all Room Parents are recruited, trained, and equipped to support their teachers and communicate effectively with the parents in their respective classrooms. |

STAFF Appreciation WeekAverage Commitment: A few hours a month in the spring for planning purposes, and a couple of hours each day of the first week of May to set up at each school. Description: The Staff Appreciation Week Coordinator and Committee is responsible for planning, organizing, and executing a week-long series of events and gestures to celebrate and thank the school's teachers, administrators, and support staff. This role typically focuses on national Teacher Appreciation Week (usually held in early May) but may also encompass smaller appreciation efforts throughout the school year. |

FUNDRAISING COMMITTEES |

Dining Night Out ChairAverage Commitment: A few hours a month. Description: The Dining Night Out (DNO) Chair works with local restaurants to find and schedule opportunities for the PTO to raise money by dining out at specific restaurants. Contact local restaurants to organize monthly dates for September-May, submit communications to the Social Media Chair and Newsletter Chair to advertise to parents, and track earnings. Based on this data, determine which food establishments to keep on the rotation. Explore additional opportunities as warranted.

Family BINGO Night CHAIRs & CommitteeAverage Commitment: Unknown, new event. Description: The Bingo Night Coordinator is responsible for the planning, promotion, and execution of a district-wide Family Bingo Night. This role focuses on bringing the school community together for a fun evening while effectively managing volunteers, securing prizes, and organizing ticketing and concessions. |
SPONSORSHIP COORDINATOR & COMMITTEEAverage Commitment: Great summer position! Description: The Sponsorship Coordinator is responsible for securing financial support from local businesses, corporate partners, and community organizations to help fund PTO/PTA programs, events, and school improvements. This role builds and maintains mutually beneficial relationships between the school district and the surrounding business community.

Movie Night Chair & CommitteeAverage Commitment: Chair Time Commitment: 1-2 hours per month up until the event. 1-2 hours per week during the month of the event.
Description: Kids Movie Night is usually held in the Fall and Spring at the Ross/Sullivan Gym. The Movie Night Chair is responsible for securing the location, setting, and confirming the date, obtaining a movie license, and purchasing snacks to be sold at the event. The coordinator will be responsible for obtaining committee members to assist with the execution of this event.
Number of Volunteers Needed: 20 volunteers the night of the event. Parents who volunteer for the night of the event get one child’s admission free.
Description of Volunteer Duties and Expected Time Commitment: Approx 2.5-hour shift per person. Volunteer duties include event setup, selling concessions, monitoring the gym, and/or cleaning up the event. |

Mac Concessions coordinator & CommitteeAverage Commitment: Description: The Mac Concessions Coordinator is responsible for managing the sale of food, drinks, and snacks at various chosen sporting events at Macarthur throughout the school year. This role ensures that attendees have access to quality refreshments while operating the concession stand as a reliable, profitable fundraising stream for the PTO. This role for coordinator and committee members does not require volunteers to commit to attending concessions at all events, but to help coordinate volunteers for select events held at Macarthur MS.

school Supply KIT COORDINATORAverage Commitment: 1-2 hours in February/March. 100% asynchronous Description: The School Supply Kit Coordinator manages the partnership with a third-party school supply vendor. This role facilitates the ordering, marketing, and sale of pre-packaged school supplies for the upcoming academic year, providing a convenient service for families and serving as a fundraiser for the PTO. |

Spiritwear ChairAverage Commitment: A few hours in the summer, mainly emailing with the vendor, and in October to distribute to schools. 100% asynchronous Description: The Spirit Wear Chair(s) will be responsible for coordinating with a third-party vendor to create online Spirit Wear stores for each school. Once the orders arrive in October, the Chair(s) would be responsible for distributing the orders to each school (sorted by teacher) to be sent home in students' backpack mail. |

Winter Outing (Sports Event) COORDINATORAverage Commitment: A few hours in 2 different months. 100% asynchronous Description: The Winter Outing Coordinator is responsible for planning and executing family-friendly outings to local professional, minor league, or collegiate sporting events. This role focuses on building school spirit, fostering community among school families, and occasionally generating supplementary funds through ticket-sharing programs offered by sports franchises. |

Yearbook Coordinator(s) & CommitteeAverage Commitment: Intensive to moderate, depending on the time of year. The busiest time is in the spring. Ongoing work for committee members, but 100% asynchronous around a firm, early spring publishing deadline.
Description: The Yearbook Coordinator and Committee are responsible for capturing the memories of the school year by managing the creation, promotion, sales, and distribution of the annual combined school yearbook. This role acts as the primary liaison between the PTO, the teachers, and the chosen yearbook publishing company.
Number of volunteers needed: 2-3, ideally at least one for each school. |

Cultural Arts/ School Assemblies ChairAverage Commitment: A few hours in the summer months or the early fall to plan for the following year's assemblies. Additional time as each assembly nears, as the point of contact for performers. Description: The Cultural Arts/Assemblies Chair plans, schedules, and contracts various performances that provide cultural enrichment. Assist in the set-up for the assembly as needed, act as a point of contact for performers, and arrange for payment with the Treasurer. |
